Yet, more often than not, we find ourselves bogged down by unnecessarily complex processes and requirements. How many times have you looked at a task and thought, "Does this really make sense? Is it too convoluted?" If this sounds familiar, you're not alone.
Fortunately, a colleague offers some invaluable advice on how to make our requirements less daunting and more streamlined.
1. Rethink and Refine
The first step in optimizing any process is to take a step back and critically assess what you're asking people to do. Ask yourself if it truly makes sense. Is it overly complicated? Could it be clearer or simpler? We often underestimate the power of simplicity.
Consider the analogy of a recipe with 28 steps; can you eliminate five or six without compromising the final outcome? If the end result is still delightful, those steps were extraneous and can be permanently removed. However, remember that not every element can be simplified without consequence, just like removing salt from a dish can ruin its flavor.
It's okay to experiment, but always be ready to revert if the outcome is compromised.
2. Trim the Fat
After reevaluating and refining your requirements, it's time to trim the excess. Look at your processes and identify components that are repeated or frequently triggered. Could you eliminate at least 10% of them without sacrificing efficiency? Reducing redundancy not only simplifies the process but also saves time and resources.
3. Simplify and Optimize
With a leaner process in place, it's now time to simplify and optimize further. Can you combine two parts of the process? Is there an opportunity to perform tasks in parallel, eliminating bottlenecks? Streamlining your workflow makes it more efficient and user-friendly.
4. Accelerate Cycle Time
Once you've optimized your process, it's time to put it to the test. Run the refined requirements and see how they perform. This step is all about accelerating the cycle time without compromising quality. It's like running a race – you want to do it faster, but you don't want the user to stumble along the way.
5. Automate Wisely
Automation is the holy grail of efficiency, but it should be the final step in your journey, not the first. Don't jump straight into automating processes without first simplifying and optimizing them. Doing so out of order can lead to more problems than solutions.
You might end up automating tasks that shouldn't even exist in the first place. Start with a solid foundation, and then automate the right processes to achieve maximum efficiency.
